Request an Online Trust Retainer Payment

In CosmoLex, you have the ability to send an “Online Trust Retainer Payment” request through email. This is directly connected to the LawPay integration and allows you to receive payment from your client and into your trust account online.

Since this is directly connected to the LawPay integration, you will first want to have your LawPay integration set up and have a trust merchant account with LawPay. Learn about the LawPay integration here.

Request Payment

First, you will want to know the specific dollar amount you are looking to receive from your client. When you’re ready to send your request, follow these instructions.

1. From the Matters Tab, select the matter
2. Click Action, then select “Online Trust Retainer Payment”

3. On the Trust Retainer Payment pop-up screen, you can see the client’s name and matter name, associated trust bank(s), and current trust balance. Type the amount you would like to request from the client. There is an alert at the top to let you know that completing this action will email the customer with a link for them to make an online payment to your trust bank. Be sure to review the information carefully before submitting.

4. When ready, click Next.
5. Next, there you will see the email template that will be sent to your client. Review it, and make any necessary one-time changes. If you’d like to make permanent changes, you can edit the template from Setup > Firm Settings > Email Templates > Online Trust Retainer Payments.

Be sure to keep the fields in brackets as they appear, as those will populate the client’s information automatically.

If you receive an error stating the trust bank is not configured to receive online payment, it means the trust bank linked to this matter is not integrated with LawPay. In order to receive credit card payments into trust, the matter must be associated with a trust bank that is linked to LawPay.

To verify which banks are linked with LawPay, go to Accounting -> Banks and locate the banks with a  credit card symbol to the left. This symbol means that the bank has been successfully connected.

6. When ready, click Send.

What Your Client Sees

When your email your request, your client then receives an email that includes the retainer payment link. A copy of the email will also automatically be sent to the firm’s email address.

When they click on that link, they’ll be taken to a payment screen provided by the LawPay portal. Here, they will be able to enter their payment information and click Submit Payment.

The amount here cannot be edited by the client

The payment amount will not only appear as a deposit in your trust bank (via LawPay), but your records in CosmoLex will automatically be updated. For that matter, a deposit will be entered for you (with a  credit card payment icon), and the retainer balance will be updated.
