Create a Timecard for Events, Emails, Notes, and Tasks

For any events, notes, emails, or tasks, you can create a timecard directly from that activity to ensure that it gets billed.

Note

Those activities with a billable status that you do not track time for, will appear on the Money Finder list to remind you. You can locate the Money Finder on the Firm Dashboard and the Me Dashboard.

Create Timecard

For Calendar Events

Follow the steps to add a Calendar Event from Matters or from Activities

To add a timecard for Calendar event:

From Matters

    1. From the list of Calendar events on Matters details screen, select the event for which you want to add a timecard.
    2. From the toolbar atop the screen, click Time.
    3. From the drop-down, click Add Timecard.
    4. The Add Timecard window opens. The system maps the:
      • Event name to the timecard task
      • Description to timecard description
      • Calculates start time and end time difference and maps it with time billed. 
    5. If you wish to make any changes, do so on this page. Once satisfied with the entries, click Save.
      A timecard will be created for this event.

From Activities

    1. From the left navigation panel, click Activities.
    2. From the Activities left navigation, click Calendar.
      From the tabs on the Calendar screen, click Calendar or Details.
      The Calendar tab displays your events in a calendar grid. The Details tab lists your calendar events as line items.
    3. Either double-click the calendar event, or single-click it to highlight it, and then from the toolbar, click Action.
    4. From the drop-down, click Add Timecard.
    5. The Add Timecard window opens. The system maps the:
      • Event name to the timecard task
      • Description to timecard description
      • Calculates start time and end time difference and maps it with time billed. 
    6. If you wish to make any changes, do so on this page. Once satisfied with the entries, click Save.
      A timecard will be created for this event.

For Tasks

Follow the steps to add a task from Matters Details or from Activities.

To add a timecard for a task:

  1. Use the steps to go to the task screen from Matters or Activities.
  2. On the Task screen, either double-click a task, or single-click it to highlight it, and then from the toolbar, click Time.
  3. From the drop-down, click Add Timecard.
  4. The Add Timecard window opens. The system maps the:
    • Task Name to the timecard task
    • Description to timecard description
    • Actual hours with time billed
  5. If you wish to make any changes, do so on this page. Once satisfied with the entries, click Save.
    A timecard will be created for this event.

For Notes

Follow the steps to add a note from Matters Details or from Activities.

To add a timecard for a note:

  1. Use the steps to go to the Notes screen from Matters or Activities.
  2. On the Notes screen, double-click the note, or single-click it to highlight it, and then from the toolbar, click Time.
  3. From the drop-down, click Add Timecard.
  4. The Add Timecard window opens. The system maps the:
    • Subject to the timecard task
    • Notes to timecard description
  5. If you wish to make any changes, do so on this page. Once satisfied with the entries, click Save.
    A timecard will be created for this event.

For Emails

Note

If using Office365 Outlook, you can utilize our Outlook Add-In to tag an email and track time.

To track time for an email within CosmoLex: 

From Matters

  1. From the left navigation panel, click Matters.
  2. On the Matters screen, either double-click the matter, or single-click it to highlight it, and then from the toolbar, click Details.
  3. From Matters Details left navigation, click Communication.
  4. From the tabs atop the Communication screen, click Emails.
  5. On the Emails screen, under the Emails section, check the box beside the email for which you want to create a timecard.
  6. From the toolbar, click Time > Add Time Card.
  7. The Add Timecard window opens. The System maps:
    • Email Communication to both task and description on the timecard.
  8. Complete the timecard, then click Save.

From Activities

  1. From the left navigation panel, click Activities.
  2. From the Activities left navigation, click Communication.
  3. From the tabs atop the Communication screen, click Emails.
  4. On the Emails screen, check the box beside the email for which you want to create a timecard.
  5. From the toolbar, click Time > Add Time Card. System will map Email Communication to both task and description on the timecard.
  6. The Add Timecard window opens. The System maps:
    • Email Communication to both task and description on the timecard.
  7. Complete the timecard, then click Save.
Important

For eBilling enabled matters, user will have to define activity and task for the timecard.
