Set Up and Use Your LawPay Integration

Introduction

LawPay is our integration partner for credit card processing. The integration allows you to receive payment from your clients by including a payment link on your invoice or through our Client Portal. Because CosmoLex includes fully built-in Accounting, receiving a payment through the LawPay integration will update your invoice, balances, and accounting records all at once!

How to set up integration

You Don’t Have a LawPay Account Yet

In CosmoLex, go to Setup > Apps and turn on Law Pay under Credit Card Processing Apps.

NOTE: LawPay integration for Canadian CosmoLex users will not be able to use this path to set up a new LawPay account. Please contact us at care@cosmolex.com with a request to create a new LawPay account.

In the LawPay Integration window, select “Create a new LawPay Account” and Click Ok.

Once taken to the next page, you will be asked to follow the steps to create an account for CosmoPay. Click Next to fill out the application.

Once the application is completed, click “Submit Application”.

Save your application

To save the application, click on Save and Go back option as shown below:

You will see a message appear as shown below:

Click Yes and then you will be brought back to Cosmolex.

Finish an existing application

If you want to go back and continue your LawPay application go to Setup > Apps > Credit Card Processing Apps > and click on “Click Here to continue your application”

When done, click “Submit Application”.

LawPay will review the application and will contact you.

You Already Have a LawPay Account

In CosmoLex, go to Setup > Apps and turn on Law Pay under Credit Card Processing Apps.

In the LawPay Integration window, select “I Already have a LawPay Account” and click Ok.

Once taken to the next page, you will be asked to sign into your LawPay account. If your login begins with cyd, ap or lp you need to click on the Legacy tab to log in.

Once signed in, any banks you have created within CosmoLex will be listed on the left, along with the options to link to a merchant account you have set up.

During your LawPay integration setup, there is an option to “include a pay online link on invoices” that is checked by default. You will want to leave that checked in order for your clients to be able to pay online.

Select which accounts you want to link to which banks. Also, select your default bank for invoice payments (if applicable).

Once complete, click submit. Your LawPay integration is now set up.

Click “Back to CosmoLex” to return to the program.

How to use integration

  • Clients can submit payment directly from the invoice email
  • Clients can pay their Invoice from within their client portal
  • You can request online trust retainer payments
  • You can charge clients’ credit card in-house for invoice payments or receipt of their retainer.  
To confirm that your link is showing on your invoice templates:
 
  • Go to Setup > Firm Settings > Invoice Settings. 
  • Edit your header template and see if you notice the variable [#InvoicePaymentLink#]. If you see it there, this is where the link will populate. You can feel free to move it elsewhere (cover letter, footer, etc) if you would like.
  • If you do not see this variable there, it is due to you having a previously edited header (perhaps with a logo etc) To include this link, just paste [#InvoicePaymentLink#] where you would like the link to go.
Here is a preview of how the link would look on your invoice
 
 

Once your client clicks on that link, they will be sent to a payment screen which has your firms branding as well as the invoice amount due. They can change this amount to be a partial, or overpayment if they would like. Any overpayment would roll over into an operating retainer. 
 

Once their payment is submitted, they will receive a confirmation message, and the payment is automatically applied to the invoice within CosmoLex. 

Pay By Credit Card via Client Portal

First, you need to make sure the invoice is shared via client portal within Cosmolex.

Go to Matter Details page > click billing section > click Invoice Tab 

Select Invoice > Action > Share via Client Portal

 
After this, the client would need to login into the client portal at https://client.cosmolex.com
 
Once logged into client portal, click invoice section on the left side panel. The current invoice will show in the window as shown below. 
 
Select the invoice, and then click “Pay Invoice”
 

The credit card processing window will come up where the client will put in their credit card information.
 

Once done, click Charge.

The invoice will then be moved over to the “paid” section as shown below:

 

How to send/receive receipts

If you would like to turn on/off the functionality for receipts for credit card transactions, that can be managed in your LawPay portal. As a default CosmoLex Users have emails notifications turned on for themselves (the firm) and turned off to the cardholder (the client). 

To change this option, follow these steps:

  • Log into your LawPay Admin Portal
  • Click on your name in the upper right-hand corner
  • Select Settings

 

  • Click on the Developer tab.  

  • On this tab, it will show the authorized applications.  
  • Click on the word ON or OFF in order to change the email confirmation settings.
