Saving Client Payment Information

This feature is only available with CosmoLexPay.

To reduce payment friction associated with entering client payment information, firms and client portal users can now securely save and reuse payment methods for both credit cards and ACH/eCheck methods.

Creating Payment Profile

Note

You can only manage saved payment methods for default operating bank linked with CosmoLexPay.

You can view/add payment information for a client from two places within CosmoLex

  • From Contacts 
  • From Matters

From Contacts

  1. From the left navigation panel click Contacts.
  2. From the top of the Contacts left navigation, select Client.
  3. From the list of clients that displays, select a client by single clicking on their name.
  4. From the toolbar atop the screen, click Action.
  5. From the drop-down, select Payment Profile.
    Your client’s saved payment information will be displayed on the Payment Profile screen.

From Matters

  1. From the left navigation panel click Matters.
  2. From the list of matters that displays, select a matter by single clicking on it.
  3. From the toolbar atop the screen, click Action.
  4. From the drop-down, select Payment Profile.
    Your client’s saved payment information will be displayed on the Payment Profile screen.

Save Payment Information 

  1. If you do not have credit card or bank details saved for a client, follow the steps above to reach the Payment Profile screen.
  2. On the Payment Profile screen that opens, complete the relevant credit card or bank account information, then click Save.
    This will save the payment information for this client. If you repeat the steps to view payment information, you will see the payment information you just saved for this client.

When using Integrated Payments, once you arrive at the Integrate Payments Transaction screen (see below)

  1. Choose Credit Card or Bank Account as the method of payment.
  2. Enter the payment information.
  3. Select “Save for future use”. 

This payment information will then be available for future deposits from this client, into this same bank account. You can view this payment information on the payment profile from contacts or from matters.

Note

    • For each client, you can save (1) credit card and (1) bank account per deposit bank.
      • e.g. If you have a trust account and an operating account linked with CosmoLexPay, You can save (1) credit card and (1) bank account for each, per client. 
    • If payment information was saved for a client while receiving payment into ‘bank account A’ then it will only be made available for reuse when receiving payments into ‘bank account A’ for that same client. 
    • This information will not be available for reuse when receiving payments into any other firm bank account or for any other client. 

Managing Payment Information

Note

If you wish to use a different payment method for a specific matter, you can override the payment profile from the Matters screen.

If you would like to edit payment information, you first need to delete the saved payment method, and then repeat the steps above to re-enter the new information. 

When you arrive at the Integrated Payments transaction screen, there will be a Delete option to the right of the saved Credit Card/Bank account. Click this to remove the payment information.

Note

Deleting saved payment information will only remove it for deposits for that client, into that bank account.
