Integrate LexShare with CosmoLex

You can forego CosmoLex’s native document storage and integrate document storage with your LexShare account.

Important

  • The integration works with a single LexShare account, so be sure to choose an account accessible to everyone who requires access in your firm.

Enable LexShare Integration 

Step 1: Enable the LexShare App

  1. From the left navigation panel, click Setup.
  2. At the bottom of the Setup left navigation, click Apps.
  3. On the Apps screen, in the Documents Apps section, click the LexShare on/off slider.
    The slider switches to On. 

You will be prompted for your LexShare API key, with instructions on where to retrieve it from.

Note

  • Users in US must use the API key from their US LexShare application
  • Users in Canada must use the API key from their Canadian LexShare application.

Retrieve Your LexShare API Key

    1. Log in to your LexShare account.
    2. From the bottom of the left navigation panel, click Firm Settings.
    3. From the tabs atop the Firm Settings screen, click Integrations.
    4. The screen will display your LexShare API key. If that field is blank, click on the Generate API Key button.
    5. To copy, use the Copy Key button 

Complete the Integration

    1. Paste the copied API key into the prompt you received in your CosmoLex account.
    2. Click Continue. CosmoLex will create its native folder in your LexShare account.
    3. Click Back To CosmoLex to return to the CosmoLex application.

Verify Your Default Document App

Alert

You can only choose one default document app. If you already have files uploaded to CosmoLex native storage, you must download those files and can later re-upload them once the matter folders have been created for the LexShare integration.

    1. From the Dashboard left navigation panel, click Setup
    2. From the Setup left navigation, click Firm Settings.
    3. From the tabs atop the Firm Settings screen, click Firm Preferences.
    4. Scroll down to the Document Settings section.
    5. From the Default Document App drop-down, click LexShare.
    6. In the upper right corner, click Save.
      LexShare is your firm’s default document app.

Step 2: Create Matter Folders

Once you have integrated with LexShare at the firm level, matter folders will be automatically created for new matters. Any files uploaded to these folders will be stored in LexShare.
 
Create folders in LexShare for Existing Matters:
 
From Matters
 
  1. From the left navigation panel, click Matters.
  2. On the Matters screen, double-click a matter, or single-click it, then from the toolbar, click Details.
  3. From the Matters Details left navigation, click Documents. The message prompt reads, “The matter you are looking for doesn’t have a folder assigned. Do you want to create one?” 
  4. Click “Yes”. This will create a matter folder in your LexShare/CosmoLex account.

From Activities

  1. From the left navigation panel, click Activities.
  2. On the Activities left navigation, scroll down and click the Documents tab.
  3. In the Client-Matter section, double-click a matter. The message prompt reads, “The matter you are looking for doesn’t have a folder assigned. Do you want to create one?” 
  4. Click “Yes”. This will create a matter folder in your LexShare/CosmoLex account.

Step 3: Managing Documents

To Access LexShare Documents directly from CosmoLex:

From Matters

  1. From the left navigation panel, click Matters.
  2. On the Matters screen, double-click a matter, or single-click it, then from the toolbar, click Details.
  3. From the Matters Details left navigation, click Documents.
    A folder taxonomy displays, with the documents stored in the highlighted folder, if any, listed in the panel to its right.  

Here you can add, download, rename folders and files, view image and pdf files and leave comments.

To the right of each file, you will see an Open in LexShare button. This will open this file within your LexShare portal.

From Activities

  1. From the left navigation panel, click Activities.
  2. From the Activities left navigation, click Documents.
    A folder taxonomy displays, with the documents stored in the highlighted folder, if any, listed in the panel to its right.  

Here you can add, download, rename folders and files, view image and pdf files and leave comments.

To the right of each file, you will see an Open in LexShare button. This will open this file within your LexShare portal.
