Manage Notes

You can use the free-flowing Notes area to document client and prospect conversation or include matter notes to a colleague.

Add a Note

From Matters

To add a note from Matters:

  1. From the left navigation panel, click Matters.
  2. On the Matters screen, double-click the matter, or single-click it, and then from the toolbar, click Details.
  3. From the Matter Details left navigation, click Notes.
  4. On the Notes screen, from the toolbar, click Add.

From Activities

To add a note from Activities:

  1. From the left navigation panel, click Activities.
  2. From the Activities left navigation, click Notes.
  3. On the Notes screen, from the toolbar, click Add.

Add Note Screen Fields

Client-Matter
  • From Matters: This field will auto-populate.
  • From Activities: enter the client or matter name, if desired. The drop-down displays potential matches.
    Note

    Notes you add through Activities do not have to be associated with a matter.

Date From the drop-down, click the date. This will default to today’s date.
Subject Enter the note subject.
Note  Enter your notes. You can enter an unlimited number of characters when adding a note. However, when creating a timecard from that note, the timecard description will be limited to 10,000 characters only.
Share via Client Portal Check the box, if applicable and desired.
Billing Status  From the drop-down, click the applicable status.
Note Color Click a color to apply to the note.
Custom Labels Click Add New Label and click a label from the drop-down, if desired. You can add multiple labels to a note.
  • In the lower right corner, click Save.
    The system adds the note to the listing.

To ensure that the note gets billed, you can create a timecard directly from the note.

Edit a Note

To edit a note:

  1. Use the steps above to reach the Notes screen from Matters or Activities.
  2. On the Notes screen, double-click the note, or single-click it to highlight it, and then from the toolbar, click Edit.
  3. On the Edit Note screen, make your edits to the note.
  4. In the lower right corner, click Save.
    The system saves your changes.

Delete a Note

To delete a note:

  1. Use the steps above to reach the Notes screen from Matters or Activities.
  2. On the Notes screen, single-click the note to highlight it, and the from the toolbar, click Delete.
    The Delete Note message box reads: Are you sure you want to delete selected Note?
  3. Click Yes.
    The system deletes the note.
