Create and Manage Custom Fields

Introduction

In CosmoLex, you can create custom fields on the Matter or Contact level. 

Create a Custom Field for a Matter

Step by Step Instructions

Go to Setup > Click Custom Fields section > under the matter tab > Click Add

In the Add Custom Field – Matter window, select a field type and click Next

In the configure your Field section:

  • Label*: This is the field that will be displayed on the screen.

  • Required Option: An asterisk* will be placed next to this field if this is required.

  • Default Value: Enter any default value if this field must be initialized when placing on the screen.

  • Active Option: Uncheck this if you do not want this field to show up on the screen for any reason. All active fields are available to be placed on the screen.

  • Visible by Default: Select this if you want this field to be associated with the screen by default. In order to organize the fields properly, this should only be selected when this field is required for all the matters.

  • Description/ToolTip: The description entered here will be presented as Help text for the user to know what this field is about.

Once the information has been filled out for your custom field, click Next

In the summary section, this will allow you to review the properties that were set up for custom field you created. 

Click Save to create the custom field.

If you need to go back and make changes to the custom field, click the back button.

You will now see the custom field added to the list under the matter tab in the custom fields section under Setup.

Your all set! You have now created a custom field for a matter.

Associating Custom Fields with a Matter

After a custom field is created in CosmoLex, you can then associate the custom field to a matter. This allows for the organization and the visibility of client matter info such as Statute of Limitations, or a Docket number for a client matter. 

There are two scenarios when associating a custom field to a matter:

When Visible by Default is Turned On

  • Under Setup > Click Custom Fields Section > Under the Matter tab > Select the custom field you created > click Edit > Visible by default will be checked in the window as shown below:

On the Matter Details page > click Custom Fields section > Click More Fields

In the More Fields window > you will see the checkbox is greyed out next to the custom field meaning this custom field will always show in the custom fields section for the matter.

When Visible by Default is Turned Off

Under Setup > Click Custom Fields Section > Under the Matter tab >  Select the custom field you created > click Edit > Visible by default will be unchecked in the window as shown below:

On the Matter Details page > click Custom Fields section > Click More Fields

In the More Fields window > you will see the checkbox is unchecked next to the custom field meaning this is not associated with the matter.

 If you want to associate this to the matter, check off the box next to the custom field and click close

You will now see the custom field added to the matter as shown below:

Create a Custom Field for a Contact

Go to Setup > Click Custom Fields section > under the contact tab > Click Add

In the Add Custom Field – Contact window, select a field type and click Next

In the Configure Your Field section:

  • Label*: This is the field that will be displayed on the screen.

  • Required Option: An asterisk* will be placed next to this field if this is required.

  • Default Value: Enter any default value if this field must be initialized when placing on the screen.

  • Active Option: Uncheck this if you do not want this field to show up on the screen for any reason. All active fields are available to be placed on the screen.

  • Visible by Default: Select this if you want this field to be associated with the screen by default. In order to organize the fields properly, this should only be selected when this field is required for all the contacts.

Associating Custom Fields with a Contact

After a custom field is created in Cosmolex, you can then associate the custom field with a Contact. This allows for the organization and visibility of contact info under client and address book sections such as secondary email address, birth date, social security number, nickname or spouse name. 

There are two scenarios when associating a custom field to a contact:

When Visible by Default is Turned On

Under Setup > Click Custom Fields Section > Under the Contact tab >  Select the custom field you created > click Edit > Visible by default will be checked in the window as shown below:

Go to Contacts > Under Client or Address book section > select the contact > Click Edit

In the edit client or contact window > click custom field tab

In the custom field tab window, click More Fields

In the More Fields window > you will see the checkbox is greyed out next to the custom field meaning this custom field will always show in the custom fields section for the contact.

When Visible by Default is Turned Off

Under Setup > Click Custom Fields Section > Under the Contact tab >  Select the custom field you created > click Edit > Visible by default will be unchecked in the window as shown below:

Go to Contacts > Under Client or Address book section > select the contact > Click Edit 

In the edit client or contact window > click custom field tab

In the custom field tab window, click More Fields

In the More Fields window > you will see the checkbox next to the custom field unchecked meaning this is not associated with the contact. To associate this with a contact, check the box next to the custom field and click close.

Once the window is closed, you will see the custom field appear as shown below under the custom fields tab:

When done, Click Save.
