Guidelines for Document Storage Integration

If you are using one of our integrations for document storage, there are some important guidelines to understand in regard to how the syncing of information works.
 
Once you complete the App integration (Onedrive, Dropbox, Box, Google Drive), a CosmoLex Folder is added to your cloud storage account, also containing folders for any matters already in CosmoLex.

Folder Creation

Each time a new matter is added, a new matter folder is automatically created in your cloud storage, which is then synced with the Documents section within CosmoLex.
 
For existing matters, you would need to double-click on the matter in matter details, click documents tab and a message will appear saying “The matter you are looking for doesn’t have a folder assigned. Do you want to create one?” Click yes and the system will create a folder for the matter.

Folder Naming

Notice that these folders are named with the Client-Matter. However, if you would like to rename the main folder while keeping the Matter name in tact, follow these steps. First, access the main document folder from either within the Matter or in Activities > Documents. Place your cursor on the main folder name and right click on it with your mouse. An option to Rename Matter Folder Name will appear. You can also do this in Activities > Documents by clicking on the pencil icon next to the main folder name. A tab with then appear that says Change Matter Folder Name. There will be a lock icon on the right side of the tab that will say “Edit” when you scroll over it. Left click on the lock icon, and it will ask you to confirm that it is your intent to change the Matter Folder Name. Click on the “Yes” option. It will take you back to the Change Matter Folder Name tab but now the lock icon will be shown as unlocked and the field containing the Matter Folder.
 

Name will now be open. Rename the Matter Folder name here, then click Save. The Matter Folder name will now be changed but the Matter name itself will remain the same.

You can add subfolders to these folders either from the cloud storage or the CosmoLex side, and name them whatever you wish.

Also note, that some document storage providers place integration content in a designated area. For example, Dropbox has an “Apps” folder. The CosmoLex folder is created within the Apps folder upon setup. In order for integration/syncing to work properly, the folders must remain in this default location.
