Enable or Disable Two-Factor Authentication (2FA)

Two-factor authentication (2FA) is a more secure method to prove a user’s identity and protect access to your CosmoLex account.

SMS-based 2FA requires users to provide their password and a One-Time Password (OTP) code delivered to their mobile device as additional proof of identity. CosmoLex supports 2FA via text message (SMS).

Important to Know

  • 2FA requires you to record every user’s cell phone number in their User record, but you do not have to enable 2FA for all users.
  • Once you enable 2FA, you can return to the Edit User screen to disable the feature at the user level.
  • You can disable 2FA for all users at the firm level from Setup > Firm Preferences.
  • Once you enable 2FA, the system prompts all firm users to enter a verification code when they login.
  • Users can check the Remember this computer for 30 days checkbox to avoid verification prompts for 30 days.

Enable Two-Factor Authentication (2FA)

To enable two-factor authentication:

  1. From the left navigation panel, click Account.
    The Account screen opens, displaying a gray left navigation.
  2. Atop the Account left navigation, click User Management.
    The User Management screen opens, displaying tabs atop the screen.
  3. Either double-click the user, or single click their name to highlight it, and then click Edit.
    The Edit User screen opens, displaying a toolbar atop the screen.
  4. In the Basic Information section’s Cell Number field, confirm the user has a cell phone number listed on their profile. If they do, skip to step 7.
  5. Enter the user’s cell phone number.
  6. In the lower right corner, click Save.
    The system updates their user record.
  7. From the left navigation panel, click Setup.
    The Setup screen opens, displaying a gray left navigation.
  8. Atop the Setup left navigation, click Firm Settings.
    The Firm Settings screen opens, displaying tabs atop the screen.
  9. Click Firm Preferences.
    The Firm Preferences screen opens.
  10. Scroll toward the bottom and locate the Two Factor Authentication section.
  11. Click the gray button to turn the setting ON.
 

The system texts you a verification code and prompts you to enter it.

  1. Enter your verification code.
  2. Check the Remember this computer for 30 days checkbox to skip the verification step for 30 days, if desired.
  3. Click Verify.
    The system logs you in.

Disable 2FA at the User Level

To disable 2FA for one or more users after you enable it at the firm level:
 
  1. From the left navigation panel, click Account.
    The Account screen opens, displaying a gray left navigation.
  2. Atop the Account left navigation, click User Management.
    The User Management screen opens, displaying tabs atop the screen.
  3. Either double-click the user, or single click their name to highlight it, and then click Edit.
    The Edit User screen opens, displaying a toolbar atop the screen.
  4. Click the Two-Factor Authentication field to turn the setting OFF.
  5. Click Save.
    The system prompts you for your password.
  6. Enter your password.
    The system disables 2FA for the user.

    Important

    The user’s account will no longer be SMS-verification protected and notifications will not be sent if someone accesses their account from another device.

User Not Receiving SMS Codes or Has Changed Their Cell Number

Email support@cosmolex.com with these details: 

  • Firm Name
  • Your Name
  • Email address
  • Phone Number where you can be reached
  • Last 4 digits of Credit Card Used to make CosmoLex payments
  • The approximate time you last used CosmoLex

Once we verify your identity, we will send a one-time use code. Use your login, password, and the one-time code to log in.
